Agency portal guide

Last updated: 24 October 2026

The agency portal lets you look after every client’s website, domains and email under your own brand. Each client gets a dashboard on your own web address, such as portal.youragency.co.uk, and never sees the KT8 name, link or logo. Setting up takes five steps, and each takes a minute or two: sign in, set your brand, add your web address, set up your email, and add your clients.

Agency plans and what’s included

There are three agency plans. Every plan includes your branded portal, your own web address, sign-in emails from your own domain, a status page for every client and an API key for every tool.

Site crawls are for Link Inspector and Search Inspector. DNS checks are unlimited (fair use). Speed and mail tests are shared across all your clients. To order, or for more than 200 client domains, email hello@kt8.com. See pricing for the full list.

The tools

Your plan includes every KT8 tool: the DNS checker, Mail tester, Speed test, Link Inspector, Search Inspector, DMARC reports, My domains, Status pages, QR codes and the IP checker. For each client you choose which of these checks they see on their dashboard:

Signing in and finding your way around

  1. Go to kt8.com/portal and enter the email address on your agency plan.
  2. We email you a six-digit code. Type it in. There’s no password to remember.
  3. You land on your KT8 account.

The side bar has two parts. The top holds your own account: Overview, Domains, Reports, Alerts, Status pages, Billing and Settings. Below it, Your agency holds Clients, Branding, Web address, Shared reports and Team. On a small screen, the side bar folds down to icons.

To sign out, open Settings and press Sign out.

Setting your brand

Your brand appears on your clients’ home page, their dashboard, every report you share and every email we send for you. Open Branding in the side bar.

  1. Logo. Upload a PNG, JPEG or WebP under 200 KB. A wide logo on a clear background looks best. With no logo, your name shows instead.
  2. Name shown to clients and Colour. Type your agency name and pick your colour, or paste its hex code.
  3. Your website and Email for your clients. Your logo links to your website. The Contact and Need a hand links use your email.
  4. A note under each shared report. Optional, up to 200 characters, such as a phone number.
  5. What clients see first on your address. Choose a full home page (your own front page with what you check, plus a sign-in box) or a simple sign-in page (just your logo and a sign-in box). You can add your own heading and up to 300 characters of text.
  6. Press Save changes.

The live preview shows what your clients will see as you type.

Using your own web address

Your clients’ home page, sign-in, dashboards and shared reports can all sit on a subdomain of your own website. You add one DNS record and we do the rest, including the security certificate.

  1. Open Web address and type the subdomain you want, such as portal.youragency.co.uk.
  2. Where your domain’s DNS is managed, add this record:
TypeNamePoints to
CNAMEportalpartners.kt8.com
  1. If your DNS is on Cloudflare, leave the record as DNS only (grey cloud).
  2. Press Check now. It usually goes live within 15 minutes, often within a minute.

Before you start, make sure the domain is registered and working. An expired domain can’t get a certificate.

Sending email from your own domain

Sign-in codes, welcome emails and alerts can go to your clients from your own address, such as hello@youragency.co.uk, with replies going to your support email. Until this is set up, they come from our address with your name on them.

  1. Open Web address and find Email from your domain.
  2. Type your domain and the part before the @. Most agencies use hello or support.
  3. We show you the DNS records to add. There are usually six:
TypeWhat it does
3 × CNAME (…_domainkey)Signs your email so inboxes know it’s really from you
MX on mail.yourdomainHandles bounces on a subdomain, so your own email isn’t touched
TXT on mail.yourdomainSays we may send for that subdomain (SPF)
TXT on _dmarcOnly if you don’t already have a DMARC record. Keep yours if you do
  1. Add them at your DNS host, copying each value exactly. Some DNS hosts add your domain to the name for you; if so, leave it off the end. On Cloudflare, leave the CNAME records as DNS only.
  2. Most go green within an hour. We check every 15 minutes, or you can press Check now.

You can also email the records to whoever looks after your DNS, or download them as a file.

Adding clients

Each client gets their own dashboard and sees only their own sites. Open Clients and press + Add a client.

  1. Type the client’s name.
  2. Add their domains, one per line. We start checking them straight away.
  3. Add the people who’ll sign in, one email address per line.
  4. Choose what they see: Email health, Domains and DNS, Website and certificate, Broken links and Website visitors.
  5. Press Save.

To show website visitors, open the client’s site in ReaderCount, go to Settings, make an API key and paste it into the client’s details. Their last 30 days then appear on their dashboard.

Each row on Clients shows the client’s domains, an icon for each check you’ve switched on, a traffic light for how things are and when they last signed in. Hover over the traffic light to see what needs attention. Click the client’s name or Preview to see their dashboard exactly as they see it, and Edit to change their details.

Sending the welcome email

Adding a client doesn’t email anyone, so you choose when they hear from you. When you’re ready, press Send welcome email under the client’s name. Everyone on that client gets an email from your address telling them where to sign in.

To change the wording, press (edit) beside the button, or open Branding and scroll to Welcome email. Use {agency}, {client} and {address} and we fill them in for you. The sign-in link is always included. Use our wording puts the standard text back.

You can send it again at any time, but no more than once an hour to the same person.

A health report for every client

Under your client list, Health report for every client shows all your client domains in one list. We check each one every 12 hours.

Status pages for your clients

Agency plans include a status page for every client, so their customers can see whether their website is up. Open Status pages in the side bar, name the page and pick the websites to show.

What your clients see

Your clients go to your address and see your home page or your simple sign-in page.

  1. They press Client sign in and enter their email address.
  2. We send them a six-digit code from your email address. There’s no password.
  3. They see their dashboard, with only the checks you’ve switched on for them.

The dashboard shows each of their websites and domains with a traffic light and a plain-English line on anything that needs doing. Each domain opens to its email records, who can send email as them (from their DMARC record and the reports mail providers send), the website and its security certificate, and website visitors if you’ve linked ReaderCount.

Only people you’ve added to a client can get a code. The page says a code is on its way whatever address is typed, so nobody can find out who your clients are. Each person can ask for up to 5 codes an hour.

Shared reports and your team

Shared reports. Run a check in the DNS checker, Mail tester or Link Inspector while signed in, then press Share. The link carries your brand and your web address. Shared reports lists every report your team has shared that can still be opened. DNS and mail reports last 7 days, link reports 30.

Team. Each colleague gets their own sign-in as an owner, admin or member. For now, ask us and we’ll add them for you.

Your plan. The Your plan box on Clients shows how many client domains and team seats you’ve used. If you need more, press Talk to us.
